INDEPENDENT JOB SHADOWING

Guidelines and Requirements

CEAHEC coordinates clinical job shadowing requests for St. Charles Health System (SCHS). SCHS receives many requests for job shadowing experiences. We are limited in our ability to meet these requests. These guidelines apply ONLY to students (non-high school) or adults who are interested in learning about health care careers. Job shadowing is limited to observation only and does not involve hands-on patient care, direct patient contact or acquiring clinical skills.

Requests must be made at least three (3) weeks in advance of the requested shadowing dates. All applicants must complete the following requirements:

These requirements apply to job shadow requests of any length.

  • Background Check ($20 fee). Cash or check only. Bring payment with you when you pick up your badge. Checks can be made out to Cascades East AHEC. If you need to mail your fee to us, please use the following mailing address:

  • Attend a 30-minute virtual Orientation

  • Receive a SCHS photo identification badge

  • Complete online learning modules

  • Between December 1st- April 1st, you are highly encouraged to receive a flu shot prior to shadowing.  If you have not received this season's flu shot, please wear a mask during your observation.  

  • COVID vaccination is no longer mandated, but is highly encouraged. We are still required to track vaccination status.

  • TB Test (for job shadows over 8 hours)

    • You are responsible for coordinating your own TB testing. Acceptable TB testing options:

      • 2 -Step Tuberculin Skin Test. This requires two tests, administered 3 weeks apart. Note: if your shadow lasts less than 6 weeks, only one test is required.

      • QuantiFERON TB-Gold blood draw. This requires only 1 test.

SUBMIT A REQUEST:

If you are interested in job shadowing, please click the button below to submit a request. Please reach out to the St. Charles caregiver you would like to shadow in advance, to make sure they have the time/availability to take on an observer.

You will receive an email confirmation with needed information to proceed. Voicemail requests will not be accepted or processed.


ONCE APPROVED FOR JOB SHADOWING:

  1. Make sure you have already submitted a request and have been contacted by CEAHEC staff via email.

  2. Once your request has been approved and processed, please click the button below to submit a formal application.

  3. Schedule TB testing right away if your shadow is over 8 hours. See acceptable testing options above in “requirements”.

  4. Review the three learning modules below and be prepared to take a short quiz on them prior to job shadowing:

  5. Click the link to log into your VicNet Portal using the email and password you set in your application. Review the Code of Conduct PDF, download and fill out the required waiver forms, take your quizzes, and upload TB test results if you did not already upload them in your application.

  6. Coordinate with CEAHEC staff to schedule a 30-minute virtual Orientation date.



Note: the information on this page does NOT apply to requests from high school students. High school students are directed to the Health Occupations program.

These guidelines do not apply to students in college or certificate programs where the experience needed involves patient contact or care and the acquiring of specific clinical skills. Caregivers and affiliated physicians of SCHS may NOT arrange with any department to have their children or friends/family shadow them without following the process described above.
